1. Acceptance and Revisions to Terms of Use

By accessing the Xperts Meetings website you are agreeing to be bound by these terms and conditions of use. If you do not wish to be bound by these terms and conditions, you may not access or use the site. Xperts Meetings have the right to modify these terms at any time and such modifications and changes will be immediately shall be effectively upon updating in this website.

2. Registration and Payment Methods

Registration and the slot for the final program will only be finalized or confirmed once we receive the payment. We have three modes of registration options:

• Online Registration: Registration can be completed from the respective conference website through credit or debit card with international transaction facility through secure online payment gateways. Also, through credit card authorization the online registration can be done.
• Offline Registration: For offline registration the user will be provided with the bank account details with their billing details to complete registration through wire transfer. Please quote your invoice number as a reference. The confirmation will be provided once we receive the payment.
• Onsite Registration: Registration can be completed at the venue of the conference. The acceptable mode of payment is by cash or through credit card authorization.

3. Participation

To participate for a conference, participants must:

Register for the conference, which can be done exclusively via an online form available at the conference’s website. Pay the conference fee, as defined by the Organiser.

The number of speaker slots are limited. Participants will be enlisted on the first come first serve basis.

Organization has the right to cancellation of participation at any point due to misbehavior, and there will be no refund for the same.

The Organiser reserves a right to modify the list of speakers and/or the agenda for reasons beyond its control.

The Organiser shall not be responsible for covering any additional expenses of the Participants made in association with the Conference.

4. Registration Cancellation & Refund Policy

Cancellation policy is strictly followed and all cancellations must be made in writing.

• Registration Cancellation before 120 days of the conference start date will receive 80 % refund. For only without discounted registration persons.
• Registration Cancellation between 119 to 90 days prior to the conference start date will receive 50 % refund.
• Registration Cancellations received below 89 days of the conference start date are non-refundable of both registration & accommodation fee
• Video Presentations & E-Poster: Non-refundable
• The bank charges/transaction charges incurred while refunding the registration fee should be totally borne by the participants.
• The discounted registration fees are non refundable. The fees will be automatically be transferred to one of the future event.
• All refunds will be processed only after completing the event.

5. Personal Reason:

The Xperts Meetings cannot refund or pay any compensation where could not attend the event is prevented by reason of circumstances which amount to “personal reason”. Such as travel difficulties, visa problems, health issues, financial default etc.

6. Registration Transfer:

In cases where you can’t attend the event and instead want to propose another person in your place. They must have also done their research in the topics relevant to the theme that they can showcase at the event based on their participation level with prior approval by conference committee/Chair person. If in case you have to change the person please intimate to our conference secretary before 30 days of starting of the event.

7. Cancellation Policy of Natural Disasters, Postponement of Registration:

The organizer reserves the right to cancel or postpone the conference in case of any natural disasters, calamities or terrorism activity or sufficient attendees. In this case, organizer cannot accept refund requests from the conference delegates, speakers or attendees that result from cancelled flights and or natural disasters, calamities. The organizer will provide opportunity for the registered delegates and attendees to transfer their registration fee and accommodation charges to any future or related conferences.

The organizer will not accept any liability for personal injuries or for loss or damage to property belonging to the delegates, either during, or as a result of the conference.

8. Request for Invitation Letter:

For foreign attendees, letter of invitation helps in smooth visa process and we wish to support international attendees in their efforts to secure the needed travel documentation. However, in order to receive a letter of invitation, the conference organizers must be assured that you intend to attend the conference if your travel request is granted. Individuals that require an official letter of invitation in order to obtain a visa and authorization to attend the conference must first register for the conference and then request the Letter of Invitation via email by writing to us at contact@xpertsmeetings.org

9. Consent to use Photographic and Video Recordings:

Xperts Meetings official photographers will be taking photographs, recording video or making audio recordings during the event. The photographs and videos recordings will be used for event related activities including in the promotional material, in both print and electronic format, including on the Internet via event website and Social media for summit purpose only.

10. Visa Information:

Keeping in view of increased security measures, we would like to request all the participants to apply for Visa as soon as possible. Xperts Meetings will not directly contact embassies and consulates on behalf of visa applicants. All delegates or invitees should apply for Business Visa only.

11. Modifications

Xperts Meetings reserves the right to modify the content in the website and change the above-mentioned terms and conditions from time to time on the website.
